Terms of service

Who you’re contracting with

Sangha Systems is a trading name of Sangha Systems Ltd, a company registered in England and Wales, company number 17358761, registered office 82a James Carter Road, Mildenhall, Bury St Edmunds, IP28 7DE.

“We” and “us” mean Sangha Systems Ltd. “You” means the business signing up.

The services

We build and run websites and automated follow-up systems for gyms, martial arts clubs and fitness studios in the UK. Depending on your plan that includes some or all of: website design and build, hosting, a domain, ongoing maintenance, an AI chatbot, missed-call text-back, lead capture, and automated Google review requests.

There are two plans:

  • Tier 1 — Website, Hosting & Maintenance — £50 per month
  • Tier 2 — Website, Automations, Hosting & Maintenance — £97 per month

The price you pay is the one shown at checkout when you sign up. The specifics of what we build are agreed with you before work starts. What we agree is what we deliver.

Billing

One flat monthly fee, billed monthly in advance by card through Stripe. Your first payment is taken on the day you sign up, unless you’re starting on a free trial. It then renews automatically each month until you cancel.

There’s no setup fee, no minimum term, and no long-term contract.

Free trials

Where we offer a free trial, it runs for 14 days.

We take your card details when you sign up, but nothing is charged during the trial. We’ll email you a reminder before it ends. At the end of day 14 your first monthly payment is taken automatically, and your subscription continues from there.

Cancel at any point before the trial ends and you are charged nothing at all — no invoice is raised and there’s nothing to refund.

When you get it

Onboarding starts the day you sign up.

Your site is normally designed, built and live within the following, measured from us receiving everything we need from you — your content, photos, logo, and any access we’ve asked for:

  • Tier 1 — Website, Hosting & Maintenance 7 working days
  • Tier 2 — Website, Automations, Hosting & Maintenance 10 working days

That clock starts when we have your material, not when you sign up. If it’s slow coming, the delivery date moves with it; we’ll tell you if that’s happening rather than let it drift quietly.

Hosting, the chatbot, missed-call text-back, lead capture and review automation are live from the day your site goes live, and run continuously for as long as your subscription is active.

What we need from you

  • Content you supply — photos, logos, timetables, copy — must be yours to use. By supplying it you confirm it doesn’t infringe anyone else’s rights.
  • Reasonably prompt replies when we’re waiting on you. We can’t build around a gap.
  • Access to anything we need to connect, such as your domain registrar or Google Business Profile.

Cancelling

No notice period, no exit fee, no phone call to sit through.

Cancel yourself in the billing portal — there’s a link on every receipt we send you — or email kp@sanghasystems.co.uk from the address on your account. You can do it on the last day of the month if you want to.

Cancellation takes effect at the end of the month you’ve paid for. Your service runs to the end of that period and you’re not billed again.

Refunds

Your monthly fee covers the hosting, maintenance and services delivered during that month, so payments already taken aren’t refunded. If you cancel, your service simply runs to the end of the period you’ve paid for and doesn’t renew.

If you cancel during a free trial before it ends, you were never charged, so there’s nothing to refund.

If something has gone wrong on our side, email us. We’d much rather fix it or make it right than argue with you about a month’s fee.

What happens when you cancel

Being straight about this up front, because it’s the thing people find out too late elsewhere:

  • Your domain is yours. It stays yours. We’ll transfer it to you or point it wherever you want, free, and we’ll never hold it hostage.
  • Your content is yours — your photos, copy, logo, everything you gave us.
  • Your leads and contacts are yours. We’ll export them for you so you leave with your data, not just your goodwill.
  • The website itself, the automations and the systems behind them are ours, licensed to you for as long as you’re subscribed. When the subscription ends, the site comes offline. We’ll give you at least 14 days’ notice before that happens.

The reason is simply how the pricing works: £97 a month buys you a site that is built, hosted, maintained and improved continuously. It isn’t a one-off purchase of a website spread over instalments. If you’d rather buy a site outright and own it, tell us — that’s a different conversation and a different price, and we’d rather have it honestly than have you assume.

Your fee won’t change without warning

Your price is fixed for as long as you stay subscribed. If we ever change our pricing, existing clients get at least 30 days’ written notice and the option to cancel before it takes effect.

What we don’t promise

We build everything in good faith and work to make it perform, but we don’t guarantee specific search rankings, lead numbers, or revenue — nobody honestly can. Anyone who promises page one of Google by Friday is lying to you.

We aim to keep your site available at all times, but we depend on third-party hosting and services and can’t guarantee uninterrupted uptime.

Liability

To the fullest extent the law allows, our total liability to you in connection with the services is limited to the fees you’ve actually paid us in the 12 months before the claim. We’re not liable for indirect or consequential loss, or for lost profits, lost revenue or lost business.

Nothing in these terms limits liability that can’t lawfully be limited — including for death or personal injury caused by negligence, or for fraud.

Changes to these terms

If we make a material change to these terms, we’ll give you at least 30 days’ notice by email, and you’re free to cancel before it applies.

Governing law

These terms are governed by the laws of England and Wales, and any disputes fall under the jurisdiction of the courts of England and Wales.
